Here are the instructions for end-of-year grade reports. The first few steps are explained in detail in the video link sent previously.
1. Q4 categories weights- Since interims already went out, they should be correct—it would cause grades to change if you change any weighting now.
2. Make sure ALL students have grades for ALL quarters. You need to check all transfer students too. Any changes for previous quarters (replacing Incompletes, etc.) need to be turned in to Jennifer Goodwin.
3. Make sure S2 and Y1 are weighted correctly. (Check in ALL CLASSES)
a. If you DO NOT GIVE 10% EXAMS: S2--Q3=50% and Q4=50%. Y1--S1=50% and S2= 50%
b. If you GIVE 10% EXAMS: S2--Q3= 45%, Q4=45% and E2=10% Y1--S1=50% and S2= 50%
c. For High School credit classes, S2--Q3=50% and Q4=50%.
*You need to weight Y1 as follows: S1=40%, S2=40% and C2=20%
d. If you teach SEMESTER CLASSES, S2—Q3=50% and Q4=50%. you do not need to worry about weighting for the year (unless I hear otherwise)
e. If you teach quarter classes, you do not need to worry about weighting for the year (unless I hear otherwise)
4. Make sure all assignments are entered and assigned the appropriate category (homework, tests, etc.) Also check dates—Q4 assignments should fall between 3/25 and 5/28. Remember we cannot use the exam dates for regular assignments-it will not count in the average. Exam grades MUST be assigned between the dates 6/1 through 6/3.
5. To insert comments, from the “Scoresheet” view, right-click on the average of the first student and choose “Score Inspector”. Choose the “Comment” tab. Double-click the comment you want to insert (or choose insert) for this student. Note that the student name is at the top of this box. Use the small up and down arrows at the top right to navigate through all students in this class. Click close. Continue for all students and all classes.
6. No grades should be below 55 and no 68’s or 69’s. To manually change any grades, right-click on the average of the first student and choose “Score Inspector”. Make sure you are on the “Score” tab. Check the “manual override” box and type in the grade and percent.
***SPECIAL NOTE*** If any Y1 or S2 grades average to 68 or 69, you will need to adjust grades in the 4th nine weeks to bring these up to at least 70. There will be no 55’s in Y1 or S2 IF you don’t allow 55’s on Q3 or Q4.
To create a final grade report for verification and to back up a PDF file of your grade averages:
1. Click on the “Reports” Tab (top right)
2. Click on Final Grade and Comments Verification option. If the bottom panel does not show, try double-clicking the “Final Grade and Comments Verification” option.
3. Choose “ALL” from the “Reporting Term” (Be sure to do this first)
4. Choose the “Active Classes” option beside the “Sections” line. (Make sure the Reporting Term option shows “ALL”
5. Click Run Report. And then make sure the dialogue box shows the Open option.
6. CAREFULLY check the on-screen report to make sure everything is accurate—look for grades below 55, 68’s or 69’s or missing comments. Note—there may be several sections that are all blank (E1, E2 if you don’t give exams, etc.).
7. Choose File—Save As and browse to your G: drive to save this report in a PDF file.
8. After you have saved, choose File—Print to print your verification sheets.
9. Look over this sheet, sign and turn in to Jennifer Goodwin.
