Full Instructions (look for NEW step of PRINTING 2 spreadsheets, 2nd semester and Final, for each class!)

(Open your gradebook and do this for each class)

PLEASE MAXIMIZE THE IGPRO WINDOW so you can see all columns and not have to scroll over

  1. Make sure all previous spreadsheets are correct-no 3’s, Inc’s, n/a’s etc.
  2. Bring up the 2nd Semester Spreadsheet
  3. Now let’s bring in the grades from 3rd and 4th nine weeks numeric spreadsheets and add the semester exam if applicable
    1. Right-click the 3rd nine weeks column
    2. Choose Replace Task
    3. Choose the”3rd Nine weeks numeric weighted type” spreadsheet and click next
    4. Choose “3rd Nine weeks Spreadsheet Spreadsheet grade” and click next
    5. Leave “Raw Score” selected and click next
    6. Click OK
    7. The 3rd nine weeks grades roll in!
    8. Right-click the 4th nine weeks column
    9. Choose Replace Task
    10. Choose the”4th nine weeks numeric weighted type” spreadsheet and click next
    11. Choose “4th Nine weeks Spreadsheet Spreadsheet grade” and click next
    12. Leave “Raw Score” selected and click next
    13. Click OK
    14. The 4th nine weeks grades roll in!
    15. Hand enter you exam grades if applicable
    16. Make sure you are already getting an average in the right-most column (*if not, see me-it could be a problem with your Grading Rules*)
    17. SAVE!
  4. *Checking the Second semester calculation
    1. Go to the 2nd Semester Spreadsheet (already up if continuing from above)
    2. Make sure the spreadsheets are calculating correctly by checking the tasks: choose TaskEdit Tasks—then choose the Points tab and make sure the exam is set up as 100 X .1 (meaning 10% of the grade)-ignore if you don’t give exams
    3. Choose 3rd Nine Weeks in the left box and make sure the points here are set up as 100 X .45 (do the same for 4th nine weeks)
    4. Also check to see what task TYPE 3rd nine weeks, 4th nine weeks and the exam are (Test, Quiz, Homework, etc. You have to make sure all 3 tasks are the same TYPE and that this is a task type you use in this class.-it does NOT matter which one as long as they are all the same)
    5. Make sure you have checked the above items for 3rd and 4th Nine weeks and the exam
    6. Click close…to close out of this box
    7. SAVE!
  5. Next we move to the Final Average Spreadsheet (same concept as above)
    1. Right-click the 1st semester Average column and choose Replace Task
    2. Choose the “1st Semester Average” spreadsheet and click next
    3. Choose the “1st Semester average Spreadsheet Spreadsheet grade” and click next
    4. Leave “Raw score” selected and click next
    5. Click OK  and the grades appear in this column
    6. IF YOU WERE FINISHED AND ALREADY BROUGHT IN 4TH NINE WEEKS IN THE 2ND SEMESTER SPREADSHEET YOU CAN GO AHEAD AND BRING IN 2ND SEMESTER HERE—
    7. Right-click the 2nd semester Average column and choose replace task
    8. Choose the “2nd Semester Average” spreadsheet and click next
    9. Choose the “2nd Semester average Spreadsheet Spreadsheet grade” and click next
    10. Leave “Raw score” selected and click next
    11. Click OK  and the grades appear in this column
    12. Make sure you are already getting an average in the right-most column (*if not, see me-it could be a problem with your Grading Rules*)
    13. SAVE!

*As above, you need to check to see what task TYPE each semester is (Test, Quiz, Homework, etc. You have to make sure all 3 tasks are the same TYPE) Do this by choosing “task”, “edit task” from the menu. Then choose the Points tab. Select the First Semester Average task from the left box and check the Task Type. (It should say 100 X 1 for the points.

IF IT SHOWS 100 X 0=0 then THIS IS YOUR PROBLEM!) Then click on the Second Semester Average task and make sure this is the SAME task as First Semester Average and that this is a task type you use in this class. Also check the points for 100 X 1. Close out of the task box

  1. We are ready to move to the Fourth Nine weeks (END TERM) spreadsheet
    1. Right click the 4th Nine weeks grade column and choose “Replace Task
    2. Choose the “4th Nine Weeks (Numeric Weighted Type)” spreadsheet and click next
    3. Choose the “4th Nine weeks spreadsheet spreadsheet grade” and click next
    4. Leave “Raw score” selected and click next
    5. *******Select the HOTLINK Grades box and click OK (The box closes out and the grades come in this column)-notice they are in BLUE and will update from the spreadsheet you brought them from if you need to make changes (however, you would need to update your 2nd semester and final average spreadsheets before continuing with the end term instructions)
    6. IF YOU GIVE SEMESTER EXAMS- (skip this step otherwise)

                                                               i.      Right-click Semester Exam column and choose replace task

                                                             ii.      Choose the 2nd Semester spreadsheet

                                                            iii.      Make sure you choose the line that contains the “semester exam” (if you followed step 1-c above) or it may still be named “semester average”

                                                           iv.      Click next until these scores come in—you cannot hotlink this one??

    1. Now Right click the Semester Grade column (NOT SEMESTER EXAM) and choose “replace task” (If you don’t see a total of 8 columns you did not maximize your window and will need to do this or scroll over.)
    2. Choose the “2nd Semester Spreadsheet” and click next
    3. Choose the “2nd Semester Spreadsheet Spreadsheet grade” and click next
    4. Leave “Raw score” selected in that box and click next
    5. ***CHECK THE HOTLINK GRADES box and click OK -if an error occurs it probably just means the grade is empty right now, especially if you are doing this step ahead of time—just click OK)
    6. Next, right-click the “Final Grade” column and choose “Replace Task
    7. Choose the Final Average Spreadsheet and click next
    8. Choose the ”Final Average Spreadsheet spreadsheet grade” and click next
    9. Leave “Raw” selected and click next
    10. ***Check the HOTLINK GRADES box and click OK -if an error occurs it may mean you have an n/a for a student who came in after the beginning of the year—just click OK for now and fix it later.

NOTE:

You should also enter comments in this “Fourth Nine Weeks (End Term)” spreadsheet. For a list, just right-click in a comments column and the list pops up. Many teachers will just choose a few numbers and then type in the numbers for each student in these columns—there are two comment columns.

PRINTING

  1. NEW STEP—this is extremely important! When you have finished each class:
    1. Bring up the 2nd Semester spreadsheet and click on Reports in the main menu.
    2. Choose Spreadsheet (see illustration of dialog box)
    3. Click Next
    4. Make sure you know where this will print and click Print
    5. Bring up the Final Average Spreadsheet and click on Reports in the Main menu
    6. Choose Spreadsheet (see illustration of dialog box)
    7. Click Next
    8. Make sure you know where this will print and click Print
    9. Check both of these spreadsheets to make sure the task types are the same and the weighting is correct—100x.45, 100x.1, etc.
    10. You will turn these in to be checked/signed off

Semester Only classes

 

1.      You still need to open the 2nd semester spreadsheet and bring in 3rd and 4th nine weeks as instructed (follow steps above)

2.      You will NOT USE the Final average spreadsheet

3.      Of course, you will only enter an exam grade in the exam columns if you give an exam

4.      You will bring your grades from 2nd semester spreadsheet in to the “4th Nine Weeks End Term” spreadsheet—“replace task” the 4th nine weeks grade with the 4th Nine weeks Numeric Weighted Spreadsheet—“replace task” the semester grade and Final Grade with the Second semester Spreadsheet average.

5.      You also must make sure that all classes for the entire year have a final grade entered in the 4th Nine Weeks End Term Spreadsheet

 

NOTE:

You should also enter comments in this “Fourth Nine Weeks (End Term)” spreadsheet. For a list, just right-click in a comments column and the list pops up. Many teachers will just choose a few numbers and then type in the numbers for each student in these columns—there are two comment columns.

Nine weeks ONLY classes

 

1.      All you have to do is bring in the "4th Nine weeks" column into the Fourth Nine Weeks spreadsheet and the same for the "Final Grade" column. You will not use the 2nd semester or Final Average spreadsheets. You also must make sure that all classes for the entire year have a final grade entered in the 4th Nine Weeks End Term Spreadsheet.

a.       Right click the 4th Nine weeks grade column and choose “Replace Task

b.      Choose the “4th Nine Weeks (Numeric Weighted Type)” spreadsheet and click next

c.       Choose the “4th Nine weeks spreadsheet spreadsheet grade” and click next

d.      Leave “Raw score” selected and click next

e.       *******Select the HOTLINK Grades box and click OK (The box closes out and the grades come in this column)-notice they are in BLUE and will update from the spreadsheet you brought them from if you need to make changes

f.        Right-click the Final Average Column and choose “Replace Task

g.       Choose the “4th Nine Weeks (Numeric Weighted Type)” spreadsheet and click next

i.         Leave “Raw score” selected and click next

EXPORTING:

Here are instructions for your grade export when you are TOTALLY finished with all spreadsheets. You only export once—all classes go up at the same time.

 

1.      On the MAIN MENU click File--Export from Gradebook...

2.      If not already checked, check the 4th Nine Weeks Checkbox ONLY and click next

3.      Check  "Click continue with export anyway" and click next

4.      Click OK

5.      If you get an error message this is normal so ignore it and close out of this box

6.      Email Jennifer to tell her you have exported.

7.      When she prints your verification report, make SURE everything looks right.

8.      Give the sheets back to Jennifer

5th Grade Exploratory

If you teach 5th grade exploratory and your students receive “2” for satisfactory and “1” for unsatisfactory:

You may go directly to the 4th Nine Weeks End Term Spread Sheet and enter the 2 or 1 under 4th nine weeks grade and final grade.

1.      Right-click the 4th Nine Weeks grade column and choose “Fill Column”

2.      Since most student are probably satisfactory, type a “2” here and click ok

3.      go back and change any 2’s to 1’s for students who will receive unsatisfactory

4.      If you had the students all year and the averages come out to mostly satisfactory, you may do the same procedure for the final average column. The same is true if you have them for nine weeks only.

Frequently Asked Questions

1.     Why is my averaging column showing “n/a” rather than a number (either in 2nd Semester or Final Average Spreadsheets)?

This is usually because when replacing the 3rd or 4th nine weeks columns or 1st and 2nd Semester columns, you brought in the wrong spreadsheet. First go through those steps again to be sure. BUT, this may not correct the problem. You will have to check the weighting of your tasks etc. to make sure this is set up correctly. Click here to see how to do this (areas in red).

 

2.     All my grade columns did not export on the verification sheet. For example, the final grade is missing.

Usually this is traced back to one MAIN reason. Did you maximize your IGPRO window to start with? If you did not, then you may have missed a column on the far right. Look again and be sure to maximize the window.

 

3.     What do I do about students who were not in my class all year?

First, you need grades from Guidance. If you do not have anything for previous nine weeks because they did not take your subject/class (exploratory, AA, etc.) you should just fill in the current averages as the same averages for previous nine weeks.

·        Go to each missing nine weeks and place ONE grade in ONE task with the average you wish to give each student-this will result in that one grade equaling the average for that nine weeks

·        Fill in the 1st semester spreadsheet with first nine weeks and second nine weeks and make sure the it is averaging like 2nd semester works--see above

·        If necessary Fill in the 3rd Nine weeks spreadsheet the same way

·        Now your latecomers should average just like everyone else—you are good to go!
