 Addendum:

MAXIMIZE THE IGPRO WINDOW BEFORE STARTING!

Also, make sure all students who were new 2nd nine weeks have grades for 1st nine weeks. (Obtain this information from guidance.) Then put the grades in the Nine weeks Spreadsheet as a single task. This will insure that the grades fill into the First Semester Spreadsheet correctly. NO "n/a's" should be in ANY spreadsheet.

First Semester Instructions

Part I. Year-long or Semester Classes ONLY—do this for all current classes

1.                Finalize all grades in all classes and save your gradebook

2.                Starting with your first class, change to the “1st Semester Spreadsheet”

3.                Right-Click the 1st Nine Weeks Column and choose “Replace Task”

4.                Choose “1st Nine Weeks Spreadsheet (Numeric Type)” in this list (Make sure you choose the correct spreadsheet in this list)

5.                Click Next

6.                Choose “1st Nine Weeks Spreadsheet Spreadsheet Grade” from the TOP of this list

7.                Click Next

8.                Leave “Raw Score” selected

9.                Click Next

10.           Click OK, and see 1st Nine weeks Grades drop in

11.           Right-Click on 2nd Nine Weeks Column in this 1st Semester Spreadsheet and choose “replace task”

12.           Choose “2nd Nine Weeks Spreadsheet (Numeric Type)” in this list (Make sure you choose the correct spreadsheet in this list)

13.           Click Next

14.           Choose “2nd Nine Weeks Spreadsheet Spreadsheet Grade” in this list

15.           Click Next

16.           Leave “Raw Score” selected

17.           Click Next

18.           Click OK, and see 2nd Nine weeks Grades drop in

19.           Fill in your exam scores (if applicable to you—leave blank if not)

Note that you should check to make sure the averages make sense at this point. Use a calculator to average a few grades to make sure.


Part II. The End Term Spreadsheetfor all teachers (with some modifications noted) —do this for all current classes

1.                Change to the “Second Nine Weeks {End Term 1/17/2008}” Spreadsheet

2.                Right-click the “2nd 9wk” column and choose “replace task”

3.                Choose “2nd Nine Weeks (Numeric Type)” —Be careful about the spreadsheet you choose in this step!

4.                Click NEXT

5.                Choose 2nd Nine Weeks Spreadsheet Spreadsheet Grade

6.                Click Next

7.                Leave “Raw Score” Selected and click Next

8.                Check the “Hot Link Grade” Box

9.                Click OK and note the 2nd Nine weeks grades drop in and are in blue—indicating they are hotlinked* to your original 2nd Nine Weeks Spreadsheet

10.           You may wish to fill in comments now by right-clicking on the cells in the rows for each student. There are 2 columns set up for comments—or you may want to do this later.

******11-17 apply to those who give exams******

11.           Right-Click the Semester Exam Column (if Applicable to you) and choose “Replace Task”

12.           Choose “1st Semester (Numeric Type)” spreadsheet

13.           Click Next

14.           Choose “Exam” at the bottom of the list (NOT the “Exam type total”)

15.           Click Next

16.           Leave “Raw Score” selected and click Next

17.           Click OK

  1. The semester Exam grades drop in—but are NOT hotlinked*

******* ALL WHO TEACH Semester or Year-Long Classes*******

19.           Right-Click on the “Sem Grd Grade” column and choose “replace task”

20.           Choose “1st Semester Spreadsheet (Numeric Weighted Type)”

21.           Click Next

22.           Choose “1st Semester Spreadsheet Spreadsheet Grade” from top of list

23.           Click Next

24.           Leave on “Raw Score” and click Next

25.           Check the “Hot Link Grades” box

  1. Click OK and see that the semester average drops in and is Blue—indicating it is

hotlinked [1]

 

Part III. Nine Week Long Classes Only—additional steps—do this for all current classes

If you teach nine week classes (Non-PE Exploratory, Academic Assistance, etc) you will do steps 1-10 in Part II above. Then Do the following:

1.                Change to the “Forth Nine Weeks End Term 6//2007” Spreadsheet

2.                Right-Click on the Fnl Grd Grade Column and choose Replace task

3.                Choose the “2nd Nine Weeks (Numeric Weighted Type)” spreadsheet

4.                Click Next

5.                Choose “2nd Nine Weeks Spreadsheet Spreadsheet Grade”

6.                Click Next

7.                Leave “Raw Score” selected

8.                Click Next

9.                Check the “Hot Link Grades” box

10.           Click OK

11.           The 2nd nine weeks grades drop in and are blue because they are hotlinked* directly to your 2nd Nine weeks Spreadsheet

 

Part IV. Semester Long Classes Only—additional steps—do this for all current classes

If you teach semester classes (PE, etc.) you will do steps 1-10 in Part II above. Then Do the following:

1.                Change to the “Fourth Nine Weeks End Term 5/24/2007” Spreadsheet

2.                Right-Click on the Fnl Grd Grade Column and choose Replace task

3.                Choose the “1st Semester (Numeric Weighted Type)” spreadsheet

4.                Click Next

5.                Choose “1st Semester Spreadsheet Spreadsheet Grade”

6.                Click Next

7.                Leave “Raw Score” selected

8.                Click Next

9.                Check the “Hot Link Grades” box

10.           Click OK

11.           The 1st Semester grades drop in and are blue because they are hotlinked* directly to your 1st Semester Spreadsheet


 

 

Part V. The Export—for ALL CLASSES— DO THIS ONLY ONCE—not for each class

1.                Choose File--Export From Gradebook

2.                Make sure "1/17/2008 Second Nine Weeks" is Checked

3.                Click Next

4.                Most teachers will get a message that has a check box that says “Continue with export anyway”—Check this box

5.                Click Next

6.                Click OK

7.                If you get an error message just close this out---Cancel, etc.

8.          Email Jennifer Goodwin that you have completed your export

 

FINAL STEP-DO NOT SKIP

Print the 1st semester spreadsheet and the 2nd Nine Weeks End Term Spreadsheet:

  1. Bring up your first class
  2. choose the 1st Semester Spreadsheet
  3. Click File-Print
  4. Choose "Spreadsheet Report" from this list-click OK
  5. Click next and then print (this is like printing interims)
  6. now go to the 2nd Nine weeks end term spreadsheet and follow the procedures above to print.
  7. Continue with all classes
  8. after checking to make sure the semester is averaging correctly, turn in these sheets to Jennifer Goodwin.
  9. Your print out for each 1st semester spreadsheet should look like the one below-note the scale factor for 1st and 2nd nine weeks=.45 and the exam (even if you do not give one) should be .1.
